Above eleven passengers a transfer becomes a fleet movement, and the difficulty shifts from driving to sequencing. Several vehicles have to leave at staggered times so that they arrive together, which is a dispatch problem rather than a booking one.
The vehicles are deployed simultaneously — people movers, mini buses and coaches working as one movement, tracked by GPS and in contact with the dispatch desk throughout. The aim is that the group steps out at the destination at the same moment, not across twenty minutes.
Where the group arrives on different flights, every flight number goes on the booking. Collections are timed so the party is consolidated inside the terminal before anything moves, rather than three vehicles leaving separately and reuniting at the hotel.
Groups of twenty or more are assigned a dedicated coordinator who owns the booking from the plan through to the invoice. For an organiser that means one number to ring on the day instead of a general dispatch line.
Invoicing is consolidated: a single itemised document covering every vehicle and every leg, which is what an event budget or a school finance office actually needs. Luggage trailers are available where the group travels with equipment rather than suitcases.
